Your personal treatment arrangements
A good SMP journey starts with a plan you understand. We record the treatment areas, the appearance you want to achieve and how appointments will be arranged. Your plan, quotation, booking, consent and preparation and aftercare guidance work together. These arrangements apply to SMP at HM Haartransplantatie. Any express individual agreement made in writing takes precedence for the relevant part.
Meet first, decide afterwards
We assess your hair, scalp, goals and earlier procedures before proposing an approach. Treatment areas and estimated sessions follow from that assessment. You have time to ask questions and decide. If your skin or health changes, we discuss whether to adapt the plan or timing. On treatment day we check suitability again and may postpone, adapt or decline treatment when needed.
Arrive well prepared
Before treatment, tell us about medicines, supplements, allergies, infections, skin or scalp concerns and previous SMP or hair transplants. Complete, current information helps us look after you appropriately. Please also report new symptoms or medication changes after your consultation. You receive practical preparation and aftercare guidance for your plan.
Confirming your date
When you wish to proceed, your treatment date is confirmed after you accept the terms and pay a 10% deposit. The deposit forms part of the total price and is deducted in full. The balance is due on treatment day unless a different payment or package arrangement is agreed in writing. Your arrangements are clear before treatment.
Cancellation and rescheduling: a clear settlement
You may cancel or reschedule free of charge at least 7 calendar days in advance. The deposit transfers when rescheduling and is refunded on cancellation. For later notice, non-attendance or lateness preventing safe treatment, HM may request a reasonable, substantiated amount capped at the 10% deposit. Saved costs and refilled appointment time are considered: no automatic forfeiture or double charge. The balance is refunded or credited with your agreement. Notify us by WhatsApp or email; receipt time counts. Consultations retain their separate 24-hour deadline. The treatment agreement and completed individual arrangements take priority over conflicting general SMP terms.
Delayed or unable to attend? Let us know.
Let us know promptly if you are delayed. We assess whether there is enough time to treat safely. If not, we discuss a new date and settlement as explained above; the deposit is not automatically forfeited.
Sessions, progression and additional work
The session schedule is tailored to your skin and desired appearance. Healing, skin response and pigment retention can change the estimated number of sessions. Follow the agreed schedule so we can review the healed result carefully. Your individual proposal describes what is included. Sessions outside that scope may be charged separately; we discuss the extra step and price before you choose to proceed.
Postponing or stopping
Report health changes promptly. For appropriate medical postponement, your deposit may transfer. If HM cannot treat and no suitable new date is agreed, undelivered treatment is refunded. If you stop, performed treatment and any lawful reasonable costs are clearly settled. Unperformed sessions are not automatically counted as performed. Statutory rights remain unaffected.
Individual results and ongoing guidance
SMP is a cosmetic procedure and healed results vary between people. Skin characteristics, pigment retention, lifestyle and sunlight affect colour, density and longevity. We therefore cannot promise an exact colour, density, duration or perfect result. We agree on the goal beforehand and follow recovery. Follow preparation, aftercare and review arrangements; if you have questions or concerns, we assess progress and the care followed together.
Clinical photos and publication are separate choices
You separately choose whether photographs may be used for planning and your secure clinical record, including a no-photos option. This never automatically authorises publication. Publication permission is optional; declining or leaving it blank does not affect your treatment or price. Consent specifies the exact files, purposes, recognisability and expiry date. Name and voice are not published; a scalp can still be identifiable. You may withdraw through HM: new use stops and controlled publications are removed where feasible. Third-party copies may not be recoverable. Another brand requires a fresh choice.
Your plan, before your consent
Your consultation is free and non-binding. The provisional assessment is valid for 90 days; health and scalp are reviewed again on treatment day. Before your consent, HM records the practitioner, areas, hairline, style, density, included sessions, reviews and total price. You review the design before pigmentation. Alternatives and no treatment are discussed too. The complete aftercare guide is provided in a language you understand before the first treatment. You may ask questions, decline, pause or stop.
Consent at each step, records by the practitioner
Before health questions, we discuss privacy and ask for your separate explicit choice about processing health information. You complete your details, health declaration and choices in the treatment agreement. Your first signature confirms the agreement and first session, not advertising. Before each later session, health and healing are reviewed and you confirm consent again. Changes require reassessment and new signed consent before treatment. Only the practitioner completes the technical clinical record, covering skin observations, design, materials, treatment and follow-up. It is not a visitor form.
An agreement made remotely
Where the statutory withdrawal right applies, you may withdraw without reason within 14 days of the agreement by a clear statement to HM. The model form is optional. Refund follows within 14 days of receipt. Starting during that period requires your express request; withdrawal may incur only the legally permitted proportionate amount for work performed. Loss of the right requires full performance and prior express consent and acknowledgement. Consent to known risks or departures from aftercare do not automatically remove statutory rights.
